Physical Property Management

  • Operation of building systems, supervise employees and monitor contractors who perform routine maintenance and repair work, and/or oversee planning and construction of tenant improvements and interior design. This includes lighting repairs and maintenance, plumbing and electrical repairs and maintenance.
  • Perform regular property inspections in accordance with established policies and procedures. Establish or maintain and enforce property’s operating policies and procedures and occupancy/usage guidelines.
  • Recommend, implement (upon Association approval) and monitor energy use/conservation programs for the property.
  • Coordinate and manage equipment repairs and maintenance in accordance with any and all regulations and inspection schedules.
  • Maintain exterior property boundaries in accordance with association regulations, schedules and seasonal items, including snow removal and landscaping.

Comprehensive Facilities and Operational Management

  • Procurement, Set Up, and Administration of Property Operating Software Rent Collection, Delinquency Management, Banking Set-Up (if necessary), Administration of Move-Ins, Suite of Resident Relation Services, Asset Management Review, Emergency Management, Risk Management, Budget Preparation, Full Maintenance Management, Vendor Relations.
  • Manage in-house and contractor services including but not limited to: Garage Management, Cleaning Services, Elevator Services, Security services and Concierge Services.
  • Determine which items or services are to be purchased for the property, prepare specifications, solicit and evaluate bids for contract services, negotiate and approve contracts, and monitor contracts.

Human Resources

  • Recruitment, On-boarding, and Training of Staff Members. Services include responsibility and accountability for payroll management, benefits administration, and personnel management, debt service payments and tax payment.
  • A checks and balance procedure will also be established for budget control from the inception of the project.

Risk Management

  • Implement life-safety and emergency preparedness and life safety systems and programs for the property (or if these already exist, then review and comment on same).
  • Implement a risk management program for the property and/or identify property’s insurable risks and recommend, secure and monitor insurance coverage’s.
  • Assist in competitive placement or insurance through various relationships we have with providers. Assist in maintaining property’s compliance with government and environmental regulations.

Communications and Resident Relations

  • Respond to all resident complaints, comments and/or maintenance requests (and will establish a standard operating procedure for dealing with such matters to ensure consistency). Design and implement orientation and property familiarization programs.
  • Routinely communicate with residents of the property concerning level of service and other management matters, including, without limitation, quarterly e-surveys and a dedicated phone number.
  • 24/7 Concierge Services

Accounting

Provide and manage any and all necessary software platforms. Services include responsibility and accountability for receivables and payables to include all operational costs, debt service payments and tax payment.

  • Collection of Condominium fees.
  • Payment of Condominium expenses including utilities, ground rent, affordable housing payments etc.
  • A checks and balance procedure is established for cash management and budget control from the inception of the project. Base rent and other monthly charges are due and payable on the first day of each month in advance. Management shall not make inquiry concerning race, religious creed, color, national origin, sex, sexual orientation, age (except for minor), ancestry or marital status of the applicant or concerning the fact that the applicant is a veteran or a member of all the armed forces or is handicapped or disabled. The applicant authorizes the Management and/or Rental Agency to obtain or cause to be prepared a consumer credit report and criminal background report relating to the applicant.

All tenants over the age of 18 require individual applications & credit reports.

A national criminal report is carried out on every application.

The undersigned warrants and represents that all statements herein are true and agrees to execute upon presentation a lease agreement in the usual form, a copy of which the applicant has received or has had occasion to examine, which lease or agreement may be terminated by the Lessor if any statement herein is not true.
